The estimating functionality enables the specification of materials, labor and overheads involved in carrying out the specified work, thereby providing a complete view of costs and lead times for project-based work.

The power of this system becomes evident when multiple levels/phases are required. You can create an estimate for each level within the project which, in turn, can be supported by an estimate. This process can be extended to fourteen levels, which are then rolled up to complete the top level costing.

Additionally, the system enables you to quickly model the cost- and lead-time impacts of using alternatives, such as different suppliers, routings and materials. In this way, SYSPRO's Estimating functionality assists you in assessing the viability of bidding for fixed-price contracts and enables you to accurately price contracts for quotes.

Project and manage cash flow

The effective prediction and management of cash flow requirements depends on access to reliable accurate data. SYSPRO facilitates this by providing you detailed data and a number of tools enabling you to see what cash is due for payment or collection, and when.

The Accounts Receivable module provides an aged trial balance that gives you a clear picture of when your billed receivables are due, along with customer terms and the average number of days each customer takes to pay. Sales order backlog reports by due date along with customer payment terms give you the data you need to calculate receivables for unbilled orders.

The Accounts Payable module provides an aged trial balance for your invoiced purchases along with supplier terms and an option to include unapproved invoices. The GRN suspense trial balance includes an aged balance of purchase receipts not yet invoiced by suppliers, while a Purchase Order Commitment report provides you with projections of the value committed to outstanding orders in any given time period.

The Cash Book module provides a snapshot of your current cash status as well as outstanding deposits and withdrawals and easy reconciliation of bank balances. In addition, the Cash Projection report enables you to forecast the effect on your bank balances of any recurring entries projected into the future.

General Ledger budgets for the current and following year, as well as eight alternate budgets, enable you to capture, query and report on cash flow forecasts at ledger code level.

The SYSPRO Cash Flow Forecast provides the capability to create multiple on-line cash flow models from a variety of inflow and outflow data, such as receivables, payables, cash book, general ledger, sales, purchasing, demand forecasts and material requirements. These forecasts provide a comprehensive view of the company-wide cash flow position. In addition, the various SYSPRO modules provide you with detailed reports and queries which assist in payment and collection control.

Record and manage progress payments, deposits and retentions

The Projects and Contracts system provides extensive flexibility for project payment methods. You can define payment schedules against which progress billings must take place. These schedules can be based on a series of dates, on completion of a specified section of the contract, or when a percentage of actual or estimated costs is reached.

Deposits can be recorded on acceptance of the contract and allocated against subsequent billings. At the time of billing the customer, you can indicate what portion of the billing value should be deducted from the deposit amount.

The Retentions function enables you to specify the required retention amount as well as the retention period at the time of creating the contract. Once the retention period is reached, you can invoice the customer and offset the retention value against the billing being made.

Streamline the construction supply chain

Track and control both committed and uncommitted project costs against budget

SYSPRO's Projects and Contracts module facilitates accurate profit reporting for long-term projects that require analysis of costs and revenues at each section or level within the contract or project. It enables tracking of uncommitted and committed costs at a detailed hierarchical level and highlights any differences between planned and actual costs as they occur.

Purchase orders, job activity, sales orders and invoicing for jobs attached to a project update the contract or project in real time, and are assigned to a position in the hierarchy. This enables you to continuously monitor the current and potential profitability of all sections of the contract or project.

Query screens and reports show up-to-date actual and committed costs, as well as realized and projected profit, at any level of the job hierarchy.

Track project activity and progress

SYSPRO's Work in Progress module provides tracking information, which enables you to monitor the progress of a project by providing a list of complete and outstanding operations per job, while visibility to production scheduling, along with what-if sequencing and scheduling tools, enhances production agility.

To identify and reduce inefficiencies in the construction process, you need real-time access to accurate material and labor flow data. SYSPRO enables you to easily query the status of your work-in-progress in terms of labor hours, costs, material and scrap quantities, and completed quantities and operations.

In SYSPRO, the material and labor allocations are created manually for a non-standard job, or automatically for a job created from a bill of material or estimate. In all cases, you can specify whether the materials are required a certain number of days before the job finish date, or at the start of a specific operation. This provides complete visibility to the material and labour that is required for any particular job, and when it is required in the production process. Also, once a job is in progress, you can easily pinpoint where the job is currently located in the routing, as well as what material has been issued so far, and the job's overall progress.
